Job Description

Position Overview:
The HR Supervisor is responsible for managing the complete HR operations for the Pakistan team, including employee lifecycle management, documentation, HR compliance, attendance, payroll coordination, and performance management. This role works as a centralized HR back-office support and ensures that all HR processes, records, and policies are implemented effectively across Pakistan employees.
The position requires strong organizational skills, accuracy, and the ability to manage HR operations independently with remote supervision.
Key Responsibilities:
Employee Lifecycle Management (Pakistan Staff)
Manage onboarding and offboarding for all Pakistan employees.
Prepare and maintain employment contracts, offer letters, NDAs, and joining documentation.
Conduct orientation sessions and ensure new hire compliance.
Maintain, update, and secure employee personal files (digital + physical).
Ensure timely processing of exit formalities including clearance, exit forms, and final settlements.
 
HR Operations & Administration
Maintain updated employee databases in HRIS, Excel trackers, and cloud-based systems.
Handle employee documentation including CNIC, certificates, experiences, IDs, and compliance records.
Prepare HR letters (employment verification, experience letters, salary certificates, warnings, memos).
Manage employee shifts and update attendance schedules regularly.
Provide ongoing administrative support to Pakistan staff and managers.
Attendance, Leaves & Payroll Coordination
Monitor and verify daily attendance.
Manage leave records, overtime logs, lateness, absences, and monthly attendance summaries.
Prepare monthly attendance reports for payroll processing.
Coordinate with Finance and Dubai office for accurate salary payments and adjustments.
Maintain confidentiality of payroll-related data at all times.
 
Recruitment Support (MW Consultant Dubai)
Coordinate with hiring managers to understand job requirements.
Post job ads, screen CVs, shortlist candidates, schedule interviews.
Conduct initial HR screening interviews and prepare evaluation notes.
Maintain applicant tracking sheets and recruitment pipelines.
Facilitate onboarding for selected candidates.
 
Performance Management
Support the design and implementation of KPI-based performance reviews.
Track probation reviews, confirmations, and contract renewals.
Maintain performance documentation and ensure timely submission.
Support managers in issuing performance improvement plans (PIPs).
 
Employee Relations
Address employee queries regarding HR policies, leaves, attendance, and salary issues.
Document and escalate grievances and disciplinary matters.
Support conflict resolution and coaching conversations.
Conduct employee engagement activities, surveys, and communication updates.
 
Compliance & Labour Law (Pakistan-Specific)
Ensure compliance with Pakistan labor guidelines, EOBI, and related statutory requirements.
Maintain records for audits, compliance checks, and HR inspections.
Update and enforce HR SOPs, company policies, and Code of Conduct.
Liaise with government bodies for HR-related documentation if required.
 
Reporting & HR Analytics
Prepare weekly, monthly, and quarterly HR reports for management.
Maintain dashboards for headcount, turnover, probation status, recruitment progress, etc.
Provide insights to management on workforce trends and HR improvements.

Required Skills & Competencies
Excellent command of MS Excel, Google Sheets, and HRIS tools.
Strong knowledge of Pakistan labor laws, HR documentation, and compliance.
Excellent communication (English & Urdu), interpersonal, and coordination skills.
High attention to detail and strong ability to multitask.
Ability to work independently and handle sensitive information with confidentiality.
Strong organizational and follow-up skills.
 
Qualifications & Experience
Bachelor’s or Master’s degree in HR, Business Administration, or related field.
3–6 years of experience in HR operations, HR generalist, or HR administration roles.
Experience handling Pakistan teams and HR compliance requirements.
Experience managing HR systems and digital HR workflows is preferred.
